AP Supervisor

The Accounts Payable Supervisor will oversee an accounts payable team, direct processing of invoices and payments to ensure vendors are paid accurately, completely, and timely, in a manner that is consistent with internal policies. They will be responsible for some of the more complex and challenging AP issue resolutions and assignments as required by the Accounting Manager. Supports accounting staff during month-end/year-end close and for special requests as needed.    

Supervisory Responsibilities:

· Monitor the work of a team of Accounts Payable Specialists that code expenses, verify and process invoices, and issue payments.

· Assist in interviewing prospective employees to select the best applicant based on skills, knowledge, and abilities required for the job.

· Train employees involved in accounts payable functions.

· Direct assigned tasks and provide assistance as needed.

· Establish goals and objectives and drives continuous improvement ideas for the accounts payable function and assist with performance evaluations.

· Enforce adherence to global policies, standards, and processes for the accounts payable team.

Other Key Duties and Responsibilities:

· Verify all invoices received are accurate with proper pricing, GL account and departmental coding, IRS1099 reporting, discounts, documentation and approvals.

· Monitor accounts payable work-flow processes and recommends improvements.

· Administer all vendor set-up, changes, maintenance, and review.

· Analyze expense reports and other invoices for accuracy and eligibility for payment.

· Ensure timely payment of vendor invoices, taking advantage of vendor payment discount terms whenever possible.

· Direct weekly check disbursement and ACH/wire processes.

· Research discrepancies and/or missing payments.

· Perform check voids and reissues.

· Reconcile accounts payable total and general ledger with other applicable reports (e.g., subsidiary vendor ledgers)

· Coordinate accounts payable month-end processes and procedures.

· Track and coordinate communication of intercompany transactions between multiple business units.

· Investigate and timely resolve outstanding checks greater than 60 days old.

· Ensure proper record keeping including maintenance, filing and storage of purchases records for use in tax preparation, periodic sales tax audits, and year end external audit.

· Support the annual external audit.

· Compile annual IRS form 1099 data.

· Provide knowledge and support to ERP Systems Development Team for Accounts Payable process development.

· Monitor and verify EDI transactions are handled correctly, if applicable.

· Perform other related duties and assignments as needed.

Experience Required

· ERP system knowledge desired, implementation experience a bonus.

· Experience dealing with multiple locations is strongly desired.

· Previous experience in a manufacturing environment a plus.

Education/Licenses/Certification/Formal Training

· Associates or BA/BS in Business or 5+ years previous AP field experience or any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

· Proficiency in MS Word, Excel and Outlook.

· Includes ability to create and edit spreadsheets and pivot tables.

· Effective management skills to support the AP Specialists and Accounting Manager in a fast paced, high volume environment.

· Serve as a knowledge resource for the AP team and for our operation locations.

· Ability to create and work in a team environment.

· Thorough understanding of a three-way matching system (purchase order, receiving/packing list, invoice).

· Excellent communication skills for interacting with vendors, peers, operations and management.

· Ability to handle confidential information in a discreet, professional manner.

· Excellent organizational, analytical, and account reconciliation skills.

· Knowledge of basic math, including fractions, discount percentages, spreadsheet formulas.

· Ability to work independently and balance multiple projects and processes simultaneously.
