We’re looking for an Administrative Coordinator to serve as the welcoming face of our showroom while providing key administrative support to our team. This position is responsible for ensuring smooth front office operations, assisting customers throughout their installation journey, and coordinating a variety of internal tasks and events. The ideal candidate is professional, organized, service-oriented, and enjoys a fast-paced environment.

Responsibilities

Front Office & Customer Interaction

  • Greet and welcome all visitors to the showroom, provide general information , and ensure a friendly and professional first impression
  • Answer, screen, and transfer inbound phone calls appropriately
  • Serve as the point of contact for customers regarding updates on their window and door installation process

Administrative Support

  • Perform general clerical duties including photocopying, faxing, mailing, filing, and organizing documents
  • Assist department members with written communication and report preparation
  • Maintain department records and help execute administrative policies and procedures

Internal Coordination & Events

  • Plan and coordinate employee appreciation efforts, including rewards and recognition events
  • Arrange internal meetings, conferences, or events: secure venues, coordinate catering, issue invitations, manage budgets, and assist in creating presentations
  • Schedule and coordinate meetings and appointments; prepare agendas and reserve meeting rooms

Qualifications

  • 1-3 years of front desk, administrative, in-person customer service or office coordinator experience
  • Strong interpersonal and communication skills, both in person and over the phone
  • Highly organized with strong attention to detail and follow-through
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and able to learn internal systems
  • Able to manage confidential information with discretion
  • Energetic, dependable, and service-oriented mindset
  • Ability of work Monday- Friday 8-5pm & every other Saturday 8-3pm
